This way of working, created by Watson & Sole for the Barbican Arts Centre in 1982, has help to re-shape the technical documentation industry and now means that one document is prepared for each functional system or physical feature of the building.

The Operation and Maintenance Manual, along with the completed building project are often the final experiences left by a contractor for the client, and by which they are often remembered. We deliver and project manage a comprehensive range of services ensuring that the production process is relevant and tailored to suit each individual project. Our carefully tailored input enables our client’s projects to meet contractual and professional obligations. We work with the design and construction teams to ensure that a manual with the appropriate and necessary content of the highest quality is produced by taking responsibility for the chasing and collation of the required information including the production of a system based Asset Register, Record Drawings and Testing and Commissioning documents. Our writers are trained engineers with specific knowledge to technically author Mechanical and Electrical Operation and Maintenance Manuals and our manuals are written using a system based format. Our coloured manual artwork shows at a quick glance each individual service, Mechanical, Electrical etc, and can be personalised by utilising a particular building image or company logo.

The Client will be presented with an easy to navigate set of manuals, both hard and electronic copy, which will effectively and efficiently support the life cycle of the building/structure. On completion, we maintain full backup copies of the electronic files which can then be updated or amended to suit current information and contents as required, this information can be added to our web based documentation portal INTELI-SCAN, and can done be as separate projects for a particular site if the building has undergone a number of phases/refurbishments/fitouts. INTELI-SCAN is fully Wi-Fi accessible on all mobile devices.

Watson & Sole making life easier by providing bespoke Asset Register Production. Using project schematics we populate and produce our system based asset register which allows us to provide a project specific schedule detailing Asset items, their locations and associated Manufacturers information. We can also provide warranty schedules, guarantees and estimated life schedules if required to provide a bespoke register that can be uploaded to any PPM system. The asset register is a fully searchable schedule available to edit and download from our Inteli-scan web portal.

Watson & Sole making life easier by compiling your As Built Drawings and Handover Documentation Throughout the life of the project drawings and technical submittals are issued by the Design team and Contractors. They go through various stages of status from Stage D Construction through to Final As Built Status A. Watson & Sole will ensure that at Practical Completion your project drawings are provided.

Watson & Sole making life easier by providing bespoke Home User Guides, Packs and Handover Documents for Residential Projects. Home User Guides are compiled in accordance with the BREEAM Checklist Man 1 Part 1 & 2, which enable a developer to achieve 3 credits as part of their Ecohome development. The aim of this process is to recognise and encourage the provision of guidance to enable home owners/occupiers to understand and operate their homes efficiently and to make best use of local facilities.

Our project bespoke Home User Guides provide your building occupants with details of their home from fixtures and fittings specifications to Services and Utility operation and maintenance hints and tips. They also provide details of the location, public transport and useful contact details of local amenities including doctors, hospitals etc and links to local authority websites. Watson & Sole compile the Resident Home User Guides by authoring an apartment Operation and Maintenance Manual issued specifically to the Client, Principal Contractor and Facilities Management team via our dedicated Inteli-scan Site Project web portal. Site users are provided with links enabling them to login to their specific Home User Guide. White goods product user guides are also provided for ease of reference. The Home User Guides can be issued in a variety of media from Hard copy manuals to internet linked website and electronic versions. The guide additionally provides environmental and energy design saving features used in the building for example, water saving measures, recycling schemes and local collection, sustainable DIY tips and Life Safety advice.

Watson & Sole helping to provide bespoke Retail Unit Packs and Handover Documents for Commercial Projects. Retail Unit Packs are compiled in accordance with the BREEAM Retail 2006 criteria. The packs enable a developer to achieve credits as part of their Retail development. The aim of this process is to recognise and encourage the provision of guidance to enable a building owner or unit occupier to understand and operate their building efficiently, in line with current good practice and in the manner envisaged by the design team.

Our project bespoke Retail Unit Packs provide your building occupants with details of their unit from fixtures and fittings specifications to Services and Utility operation and maintenance details. Information we provide is as varied as it is unique. Green Walls, Acoustic floating flooring, Cinema installations, Supermarkets, Restaurants and pop up Kiosks. Watson & Sole compile the packs by authoring an Operation and Maintenance Manual issued specifically to the Client, Principal Contractor and Facilities Management team via our dedicated Inteli-scan Site Project web portal. Site users are provided with links enabling them to login to their specific project site.

Inteli-scan:

Our product, Inteli-Scan is a web portal used for authoring, review and project management of the building and FM Documentation.

Inteli-Scan is the Building Library, with Project Management features to establish, develop, author, review, approve, update and store your building records with search engine to retrieve information. The system is available to use on all platforms including a desktop site, mobile or tablet. This provides significant benefits in as much as information can be retrieved quickly and simply with the added benefits should they require updating in the future following further works then it is a simple task to update the suite.

Regardless of whether we are engaged in a management role or an authoring role we utilize Inteli-Scan as the management tool, with the document being prepared in our unique system/element based format. The system provides live status reporting of any aspect of the documentation process during the project phase. Inteli-Scan is a fully hosted solution with failover and backup in a physically and technologically secure environment. Inteli-Scan is written in Microsoft .NET and was recently short-listed for a prestigious building documentation award.

The Search Menu gives end users access to the Simple and Advanced Search Pages using filters and keywords to narrow the field of documents found.

Inteli-Scan allows the End User to Export or Reuse information: The Bulk Download tool allows the user to assemble any documents for saving and printing. The resultant download is provided with a cover sheet and full contents listing specifically generated as a result of the selections made. These contents pages can be used for auditing and when issuing documents for tender purposes etc. The downloaded manual content page also provides hyperlinks to the individual documents in the download thereby providing interactivity for disconnected users. Detailed Reports are Exported to MS Excel for use by all Project Team Members. The Reports page gives access to live detailed Author, Reviewer, Comments and Workflow reports exported to MS Excel (As shown below) for use by project users indicating: • Documents counts, (Count of all types of documents received versus those expected for each

system) • System Status • Asset Counts for each system • Comments made versus comments responded to by the Author versus Comments Closed

Using Inteli-Scan, our online project documentation tool we prelist the scope and detail of the documents required. As the project progresses we can therefore identify short-comings of information early in a project and assist contractors all the way to delivery of the final documents, through a series of seminars, one- to-one training sessions and guidance documents. Working side by side with project Document Management Systems such as ASITE, Ancones, 4 Projects, BIW we manage the process as soon as the project commences right up until handover of the keys when the client will receive training in the use of Inteli-Scan and a complete set of handover documentation in a neatly presented suite of manuals. weWRITE - a solution for clients and end-users requiring a complete technical authoring service. weWRITE is our premium technical authoring service where clients engage us directly to procure, write and prepare and collate all Building and Facilities information on behalf of the Project Team. Working closely with the client’s team we liaise with every contractor to recruit source information that enables us to author the building and FM specific documentation. Our weWRITE service includes management and collation of all final Testing and Commissioning Results and Record Drawings. Using Inteli-Scan, our online project documentation tool we prelist final documents required for each trade package at an early stage of the project so that the contractors understand precisely the documents that are required at handover. The Property Owner or Main Tenant have invested in Inteli-Scan a web based Operation and Maintenance manual for the Building. To avoid loss of any Operation and Maintenance Manuals it is the client’s intention that tenants provide their manuals in the Inteli-Scan Environment. The result is therefore that the latest version of the manuals is available to the FM Team and future projects and fitouts. Health & Safety File

The Health & Safety File is often referred to as The Principal Reference Document - a client's simple record of information for future use. The H&S File is a legal requirement of the CDM Regulations 2015. Working closely with the CDM Coordinator W&S are often engaged by the Principal Contractor to prepare via INTELI-SCAN the paper and electronic copy of the file which contains information to alert those responsible for the building of key health & safety risks. The format H&S File is fully updateable and is incorporated in INTELI-SCAN

L2 Log Book

Building Log Books must be provided as part of the Building Regulations Approved Document (L2). Their purpose is to provide details of the installed building services plant and controls, their method of operation and maintenance (often a cross reference to the O&M Manuals) and other details that collectively enable energy consumption to be monitored and controlled. It is a legal requirement to maintain the Log Book to reflect the building installation. The majority of the required documentation to meet the requirements are contained within a comprehensive Asset register and the Operation & Maintenance Manuals.

BREEAM Building User

Guide

BREEAM (Building Research Establishment (BRE) Environmental Assessment Method) Guides are a small additional document that supplement the Building Log Book to include the environmental assessment findings relating to a building and provide Building Users with an introduction to their working environment. The principal purpose of the document is to ensure users are aware of the Green features of their building and how to interface with them. W&S prepare BREEAM Guides on behalf of Clients to complete the Record Documentation set and provide the end deliverable in an easy to use, fully updateable format
