This!package!provides!coordination!of!onHcampus!lodging.!The!client!is!assigned!a!
resident!hall!based!on!preference!and!group!size.!Dining!is!also!included!in!this!
package,!each!conference!guest!is!given!a!meal!card!that!allows!them!to!eat!at!one!of!
the!onHcampus!dining!centers.!Lastly,!clients!can!choose!to!use!the!state!of!the!art!
recreation!center!located!on!campus.!!

2.! OnHCampus!Event!Management:!!!
This!package!includes!onHcampus!lodging,!dining!and!recreation!center!access,!in!
addition!to!the!inclusion!of!additional!amenities.!These!amenities!include:!space!
reservation,!catering,!audioHvisual,!transportation!and!any!other!onHsite!campus!
logistics.!Coordinators!are!expected!to!reserve!space!onHcampus!with!the!desired!
setHup!and!audioHvisual!arrangements!requested!by!the!client,!order!any!catering!
requested!by!client!and!work!with!campus!partners!to!reserve!transportation!to!
take!participants!toHandHfrom!campus.!!

3.! Registration!Management:!!!
This!package!includes!a!webHbased!registration!system!that!generates!a!website!for!
the!client’s!conference/event.!Participants!are!able!to!register!themselves!online.!
Registration!supplies!can!be!provided!per!request!of!the!client,!these!include:!
portfolios,!name!badges!and!any!other!special!requests.!CES!is!able!to!collect!
registration!payments,!be!a!point!of!contact!for!attendees!and!provide!onHsite!
registration!support!by!attending!checkHin!for!the!conference/event.!!!

4.! Financial!Services:!!!
These!groups!require!no!accommodation!or!space!reservation!coordination.!All!
expenses!for!financial!service!groups!are!handled!by!the!business!manager.!The!
business!manager!tracks!all!deposits!and!expenditures!made!by!the!client.!!

5.! Student!Employment!!
a.! Conference!Assistant:!!
Each!summer!CES!hires!3H4!CSU!students!to!help!with!overall!conference!and!
event!planning.!Each!student!is!trained!in!full!on!the!dayHtoHday!expectations!
of!a!conference!coordinator.!The!students!are!given!10H15!of!their!own!
clients.!Each!student!is!required!to!coordinate!each!group!they!are!given!
from!beginning!to!end.!The!conference!assistant!also!provides!help!to!their!
assigned!professional!conference!coordinator!on!their!largerHscale!groups.!
Conference!Assistants!are!only!needed!during!the!peak!season.!

b.! Administrative!Assistant:!!
CES!hires!one!administrative!assistant!for!the!summer!season.!This!student!is!
required!to!help!the!registration!coordinator!with!dayHtoHday!task!that!
pertain!to!registration!groups.!During!the!academic!year,!there!are!up!to!4!
administrative!assistants!that!rotate!shifts!at!the!front!desk.!Each!student!is!
required!to!answer!questions!about!registration!groups,!answer!phones!and!
emails!and!process!payments.!!

c.! Guest!Services!Team!Member:!!!
CES!hires!30H35!CSU!students!to!work!the!resident!hall!front!desks!each!
summer.!These!students!are!the!face!of!CES.!They!greet!guest,!prepare!keys!
and!meal!cards,!answer!questions!and!check!guests!in!and!out.!Guest!Services!
Team!Members!are!only!needed!during!the!peak!season.!!

Competition!is!fierce!in!university!event!planning;!in!Colorado!the!competition!is!
stiff.!University!of!Northern!Colorado!and!University!of!Colorado!Boulder!both!have!
conference!and!event!planning!offices!on!their!campus.!Both!campuses!provide!
services!similar!to!CSU.!OnHcampus!coordination,!event!management!and!online!
registration!services.!Prices!are!not!listed!online!for!any!of!the!services!provided!by!
each!university,!but!this!could!play!a!major!factor!on!why!a!client!chooses!one!

CES!is!limited!to!events!they!are!allowed!to!plan.!They!must!have!an!educational!

media!presence!they!have!is!on!Facebook.!Utilizing!platforms!like!Instagram!or!

CES!has!been!recognized!by!Unique!Venues!and!Association!of!Collegiate!Conference!

2016,!CES!was!runnerHup!for!“Best!Venue!Per!Diem”!award!from!Unique!Venues.!In!
