– Prepare a budget for your event and continually monitor expenditure.

– Will you require a professional event/conference organiser to assist in organising your event?

– Avoid dates for your event that fall on public holidays or other major events held in the Bendigo region. The Bendigo Visitor Centre and online event calendars provide good sources of information for this purpose.

– Develop a Marketing & Communication Plan around how you will promote your event including publicity and press release management. Will you require designed logos and promotional material?

– Identify & approach appropriate potential sponsors. Ensure that sponsors are acknowledged and engaged in the lead up to, during and after the event.

When managing traffic consider car parking,

entry and exit points, signage, disabled parking,

VIP parking, pedestrian access, marshals,

lighting, and the promotion of alternative

transport. If your event requires road closures

you will need to seek approval from the City

of Greater Bendigo and/or VicRoads as well as

engaging a traffic management professional.

Depending on your closure you may need

to notify Emergency services, Department of

Infrastructure, VicRoads, local businesses and

other effected parties.

– Will you require any Permits or Licences? Are you using public spaces?

Depending on your event and its location, the

following permits/licences may be required.

All public events are required to submit a

Public Liability Certificate of Currency for at

least $10 million to the City of Greater Bendigo.

– Do you require a Risk Assessment/Risk Management Plan? Ensure this assessment involves all stakeholders.

– Arrange support services and hire equipment early if required. Do you require: staging, lighting, catering, PA systems, AV equipment, portable toilets, cleaners, marquees, generators / power distribution, security, ticketing, transportation services etc.? Once arranged, book and confirm all contractors in writing.

– Do you require a Waste Management Plan including an estimate of recycling and waste bins required and their locations, cleaning and collection of waste during and post event and appointing contractors to manage waste?

– Do you need to notify Police, Ambulance Service and Fire Brigade of your event? Will your event affect Public Transport?

– Have you put in place contingency plans in case of such situations as inclement weather or low attendance?

– Ensure you develop a complete timeline of the lead up, duration and pack down of your event. Consider rehearsals, sound checks etc. Briefings with all stakeholders/staff maybe required prior to and on the day/s of the event.

– Post-event, make time to thank staff, speakers, volunteers, sponsors and performers in writing. Hold a de-brief session to look at ways of improving the event – this is your starting point for your next event.
