I am happy to be serving in my second year as NCL Treasurer.   In this role, my primary responsibilities are collecting the chapter dues and paying the chapter’s bills.  I also maintain our chapter budget which can always be found on the website under Files / Treasurer.

One of the ways our paths will cross this year is through the reimbursement process. I appreciate everyone’s willingness to follow our Chapter’s guidelines in obtaining reimbursement. The procedure for reimbursing expenses paid by patronesses is as follows:

1. Download a reimbursement form from the website (Under Files / Treasurer)

2. Fill out the form and attach all receipts (Please note that we do not reimburse for sales tax. A tax exempt form can be found on the website).

3. Obtain the signature of the VP in charge of the event and mail the form to me (address is on the bottom of the reimbursement form).

I write checks nearly every week, so if you don’t receive a check within two weeks of submitting your form, please send me a text or e-mail.

I appreciate the opportunity to serve as Treasurer and look forward to work with all of you this year.

I am excited to be a member of the Board this year and learning more about the wonderful philanthropies in our community. The Rose Chapter continues to work with the same philanthropies as last year, and we are working to create meaningful experiences for our members while serving the needs of those organizations that depend on us.

As a group, the Rose Chapter is off to a great start, volunteering 3,639 hours since April 1, 2015! Our newest philanthropy, The DoSeum, has benefited

from the most volunteer hours at 918 hours to date. Chandler House continues to be a favorite philanthropy with 636 hours and we have logged in more than 200 hours at the Food Bank, Witte Museum and Humane Society as well.

Don’t forget to volunteer and log in half your required hours by October 31st. Keep up the good work!

The role of the Parliamentarian is to act “as an advisor to the President to manage key Chapter documents and the nominating process and to oversee the practice of rules of order”. In English, this means:

u Advise Allison Zeller on procedural matters under Robert’s Rules of Order

u Manage the By-laws and other Chapter documents*

u Manage the process of identifying the slate of officers for the San Antonio Rose Chapter for the 16-17 year

u Train class Ticktockers that are serving as Class Parliamentarians

*Last year (14-15), the Chapter underwent a revision of its By-laws. Rebecca Long, my predecessor, and a By-laws Committee worked to incorporate our Chapter’s practices into a template established by National. The end result is an easier to read, streamlined document that delineates the language required by National and the language specific to our Chapter.

This year (15-16), our Chapter will undergo a conversion of our Standing Rules and Ticktocker Procedures into one document called the Policies and Procedures Manual for San Antonio Rose Chapter of National Charity League, Inc. This new manual should,

just like the By-laws, make “the rules” and “how we do things” easier to read in a streamlined document. It, too, will delineate the language required by National and the language specific to our Chapter.

Your Board will take the opportunity of this process to clean up some ambiguities in our existing documents.

The Board will approve some of the “new” policies and

the Active Patronesses will approve others. Please understand, this approval process is simply converting existing rules and procedures into a new document. There are no plans to make any significant changes! We have to vote on them simply

because they are in a new format but the voting should be perfunctory.

The Policies Committee (Erika Ganey, Rebecca Long, Nicole McNeel, Kelley Nittoli, Julie Perez, Catherine Spezia and myself) hopes to complete this conversion by December 31, 2015, with another month or two of grace for any unexpected issues. Please extend a word of thanks to the committee members for this crucial work they are doing behind the scenes. Of course, I am happy to answer any questions at any time.

I look forward to seeing everyone at the Patroness meetings and I thank you for your commitment to NCL!

Communication CommentsThe Communications Committee is responsible for the many ways we as a chapter share information. I am very grateful to be working alongside so many dedicated and talented ladies.

The move to a new website has been a dominating topic when we think of the Communications Committee this past year. While the kinks in the new system are being worked through, I would like to thank the Board for remaining open and flexible in this regard. As you are aware, the decision has been made to delay our migration until such time as the new system is fully functional. Many, many painstaking hours were devoted by several members of the Board as well as members of our website transition team evaluating and learning the new platform. We would not be where we are without the wisdom and support of Sustainer Patroness Mindy Daubert who worked tirelessly over the summer months to assist in the correct assessment of this new tool. We as a Board feel very confident in the path that has been chosen for the good of the chapter.

Julia Reinhart is once again amazing us with a beautiful and informative Chapter Newsletter. The Rose Report is an important resource for communicating upcoming events as well as sharing accomplishments of our incredible membership. We

love to hear from our Patronesses and Ticktocker Classes so we can celebrate their achievements. Please encourage your class to send Julia any newsworthy information.

Ann Deeds and Anne McGarraugh have done a phenomenal job putting together our print directory. We are the last chapter in District 18 to still provide this helpful tool to our provisional, active and sustainer membership. If you missed collecting your copy at the first two patroness meetings, you can pick yours up at my house 123 Parklane Drive in Olmos Park. Our Ticktockers can benefit from the print directory as well. The information found on the Class pages can be used to assist them with their role during their Ticktocker Class meetings. On these pages they can find birthday, contact information and the roles that each member of the class plays to make the year a success.

Our Patroness Photographers, Elizabeth Swanson, Beth Houser and Nicole Garcia are working hard to record our Patroness and Chapter Events with images that will be used by our Historians, Nolette Brell and Tifini Furst, to create our slideshows presented at the Senior Recognition Event and Mother Daughter Tea. These Patroness Partners will also be working with our Ticktocker Photographers and Historians to ensure that they are

capturing memories for their class throughout the year. We look forward to sharing wonderful presentations with the Chapter at these special Spring events.

Finally, probably the most well-known tool in our tool box for sharing information with members is our Chapter website. Once again, Elaine Hicks is rocking her roll as Calendar Patroness. She has been quick to post all the Patroness and Ticktocker Class events. This is a big responsibility and Elaine takes it all in stride. Barbara McBirnie and Lupita Molina are helping with a huge project to migrate all our chapter photos to a new location on Smugmug where we will be able to easily store full resolution images. Watch for more information about this new development coming soon.

When you see any of these special ladies, I hope you will join me in thanking them for their tremendous work for the Chapter. We would all be lost without their hours of dedication to the communications of the Chapter.

My name is Beth Welsh and my daughter, Jacquelyn (Class of 2019), is a “Freshie” at Alamo Heights. This is our 3rd year in NCL and we couldn’t be more grateful for the friendships we’ve made and the volunteer opportunities that have taught us both rewarding life lessons and opened our hearts.

My first year in NCL, I was appointed Class of 2019 Grade Level Advisor (GLA). The following year, I was Class of 2019 Head GLA and this year I am fortunate to be VP of Ticktockers. After my two year “Ticktocker Immersion,” I

hope to revamp and improve the Ticktocker Class Meetings. I am eager to encourage Ticktockers to master their jobs and become confident leaders in their Board/Officer positions AND to make each Class meeting more FUN! In other words, I want Ticktockers to Rock their Role!

This year my goal as VP Ticktockers is to encourage GLAs and Patroness Partners to make a difference in our girls leadership skills. My hope is that Ticktockers will take ownership of their jobs and be better prepared administering their

reports. I do not want them to have ho-hum grade level meetings but to have energetic, creative, fun, educational and inspiring meetings. Our Ticktockers should walk away feeling confident in their job knowledge and be enthusiastic for their next meeting. Good luck to all GLAs and Patroness Partners this year. I am willing to help you in any way possible to achieve this goal.

It is an honor to serve as the Provisional VP for the San Antonio Rose chapter, a new position on the 2015-2016 Board of Directors. As defined in the NCL, Inc. Handbook, the role of the Provisional VP is to “support the Provisional members…and help develop them into engaged, contributing members with a strong understanding of their roles within NCL.” That’s a tall order, and it’s going to take the entire Active membership to fill it!

To those of you who sponsored one of the wonderful Patronesses of the Class of 2021, thank you – but remember that your job didn’t end when her name was drawn! I

urge you to be in regular contact with your sponsored Provisional Patroness, making sure that she and her daughter are not only fulfilling the requirements of membership, but also developing meaningful friendships along the way.

To the wonderful Patronesses and Ticktockers of the Class of 2021, welcome again! We are thrilled that you have joined us on the NCL journey. Should you find yourself overwhelmed by meetings and volunteer shifts and

committee duties and league hours vs. philanthropy hours – take a deep breath and give me a call. There is much to learn in this first year, and we’ll get through it together! Along the way, I hope

you’ll take advantage of every opportunity to develop

new skills, forge new friendships and serve our community – but mostly, I hope that you’ll foster your relationship with your daughter and cherish your moments together!

There is always something happening in Membership! We spent the summer updating our Membership files – paper and online – so that we have the most accurate information for each member. If you see something in your online profile that is incorrect, please correct it, and let us know so that we can correct our paper files. We want to make sure all information is correct before switching over to the new system in the spring.

Even though we may just be getting into our school year routine, our NCL reporting year runs April 1–March 31, so we are actually halfway done! This means that half your required League and Philanthropy hours need to be completed and logged into the website by October 31. That goes for Ticktockers and Patronesses alike. You must complete this requirement to be considered for elected office or to sponsor new members. Which brings me to my next topic: our annual Membership Drive! It’s time to think about who you can sponsor to be considered as a new member. Intent to Sponsor Forms are available to download from the website. And for you current Patronesses with 6th grade daughters, please fill out a Legacy Form (also on the website), so that we will know how many spaces we’ll have for new members. Both

the Intent to Sponsor and Legacy Forms are due October 30th. In addition, sponsors are required to attend one of two Sponsorship Workshops offered. Information on those, along with a complete Membership Timeline can be found in this newsletter.

It’s not too late to think about working toward a year-end award. This is the first year that my daughter and I have done it, and it has been so rewarding. We have worked more hours together and served philanthropies that we may not have otherwise. With half the reporting year left and new shifts being posted all the time, I highly recommend rocking your role, putting a little extra time in, and working for a special award. I could be recognizing you at next year’s Mother-Daughter Tea!
