email. Signature- a conclusion or ending to every email you send

to say who you are and any other information e.g. telephone, address etc.

To…- who you want to send your email to. Cc…- carbon copy, when you send an email to more than

one person. Bcc…- Blind carbon copy, it hides any/all addresses entered

on it. It is used to protect the identity and privacy of your readers.

Importance: high, low – how important is the email.

Email EtiquetteEmail Etiquette is how you portray the language or attitude of your emails. For example, you write emails much differently to your co-workers than to your friends. These are a few tips to help you improve the etiquette of your emails: Choose a suitable name; your name says a lot about who you are

and if you are professional. Stay clear of using nicknames as people who do not know you, may not understand them. I advise only using a shortened variation of your name, for example, JSmith@...

Reread all your email before you send them; make sure there are no errors or grammar mistakes.

Be conversational with your client, perhaps start your email with a polite, friendly message e.g. Good afternoon, hope you are well…

Do not use slang or text language. Most definitely do not use offensive language.

Setting Up a SignatureTo set up a signature on every email you send, you need to firstly, go to ‘options’ , should be in the top right hand corner of the page, then scroll down until you see ‘ email signature’, then, if you want to, tick a box saying include signature on every email you send, to make your emails look professional. Finally, type a signature into the box as you wish.

Setting Up an Automated ReplyTo set up an automated reply go to ‘options’ then on the left hand side go to ‘Automated replies’. Tick the button saying send automated replies , then write your reply in the textbox below.

Reasons Why Email System Might Not Work

Internet connection error- check if the network cable is in, pass on to supervisor, if not plug it in. - If at home, check router, after reset if it is still broke then contact ISP

Viruses- If your computer gets a virus then run an anti-virus software which would detect it and wipe it off your computer. If the antivirus doesn’t work then try deleting it manually or call an IT manger to do it for you. As a last resort, wipe and reset your whole computer.

Computer won’t turn on- Check all the wires are plugged in. Then call an electrical maintenance person to check your computer for any dodgy circuitry inside the computer or dodgy sockets.
