With over 100 years of experience inits industry, Banco Popular prides itselfon being a solid institution, and its opera-tions now stretch far beyond the bordersof Puerto Rico. In fact, the bank offersfinancial services throughout the UnitedStates, the Caribbean region, and Latin America. Today, the bank services over1.4 million clients through 187 branches,605 ATMs, over 27,000 point-of-sale

terminals, and a contact center available24x7.

The bank focuses on service, innova-tion, and technology, and – accordingto its philosophy – the key to successis its people. For this reason, managingits human resources was crucial for thebank, and it was looking for an excel-lent solution to help fulfill its corporategoals in that area.

Focusing on Areas of Improvement

Banco Popular recognized that, in orderto improve operating efficiency andprepare for future growth, it needed toupdate the IT solutions that supportedits operating structure. As often hap-pens over time as companies grow,the bank had implemented a varietyof IT systems from different vendors.However, the resulting IT applicationlandscape was neither integrated noraligned with the broad goals and strat-

egies of the company.

One of the key goals the bank identi-fied was improved efficiency. BancoPopular realized it would need to auto-mate its processes and replace slow,manual transactions, making them athing of the past. By automating keyprocesses, the bank would be able togive clients more value by, for example,minimizing the paperwork that was alarge part of some of the bank’s for-

merly cumbersome, manual, and error-prone processes. Automation promisednumerous benefits: efficiency, bettercustomer service, and the reduced riskof costly mistakes and oversights.

 At the same time, Banco Popular alsoperceived the benefits of having updatedinformation about its employees in orderto achieve more efficient and effectivemanagement. To meet its variety ofneeds – for both its business and peo-ple – the bank decided to seek and

implement a software solution that would help it manage its human capitalas effectively as its banking operations.

 An Informed Investment

 After analyzing a number of proposalsfrom other third-party enterprise soft- ware vendors, Banco Popular optedfor the SAP® ERP Human Capital Man-agement (SAP ERP HCM) solution.What appealed most to the bank was

the SAP solution’s integration, which

promised a central source of unified,stable, and reliable data – reducingthe instances of information duplicationof the past.

Because of the flexibility offered by

SAP ERP HCM, Banco Popular wasalso looking forward to being able toachieve the data accessibility theyneeded through automated and cus-tomized ad hoc reports.

Building Value

 After a 20-month-long process, BancoPopular completed the implementationof the SAP solution by going live in a“big bang” fashion. The large-scale

going live phase included simultaneouslysetting up all the applications of SAPERP HCM in all six companies in thegroup. Banco Popular was pleased withthe success of the project. Says LuisMatos, SAP project coordinator atBanco Popular: “The key to the successof the implementation was to haveexperts integrated into the processesin several areas, to have specializedresources, to manage change success-fully, and to have the full dedication ofthe project leader and SAP consultants.”

Given the huge scale of the implemen-tation – and the need to safeguardbusiness continuity and avoid any neg-ative impact on the six companiesinvolved – the project team continuedto run the legacy system and SAP ERPHCM in parallel for three months fol-lowing the go-live date. However, theimplementation was seamless, the newSAP solution functioned as expected,and there was never a need to call on

the standby legacy system.

The implementation of SAP ERP HCMincluded a variety of applications, includ-ing functionality for organizational man-agement as well as managing benefitsand compensation, events, employeetime, and payroll. In addition, the team

implemented solutions for training andeducation, as well as for self-servicetransactions for managers and employ-ees via an intranet portal. Following thesuccessful implementation of SAP ERPHCM, Banco Popular took anotherimportant step and deployed the SAPERP Financials solution.

 Total Accessibility

Nowadays, Banco Popular manages its

human capital in a much more modern,agile, and accurate fashion, getting thebest out of SAP ERP HCM. With the

implementation of the intranet portal,Banco Popular now ensures that eachuser – with the convenience of a singlesign-on – has access to a central, con-solidated system and gets news andcommunications relating to his or her job. Via its portal the bank supportsboth managers and employees withself-service transactions. For example,by using manager self-service function-ality, supervisors can administer their

 work groups dynamically and flexibly,

being able, for example, to approveprocesses remotely. For the staff them-selves, the employee self-service fea-tures of the portal enable them toaccess important documents online,such as tax forms and work-related

manuals and documentation.

Overall, Banco Popular is pleased withthe improved human capital manage-ment supported by the SAP solution.“By using SAP ERP Human CapitalManagement,” says Matos, “we canrely on predefined online reports withinformation that is continuously updated.It’s possible to check each employee’sdata regarding compensation, training,and the entire performance record.”
