Our message of “connect, learn, and share” is on my mind more than ever.  We’ve

been focused on a number of improvements and upgrades to your community

resources to help you do just that – connect with Microsoft Dynamics NAV

Users, learn from each other and our impressive subject matter experts, and

share your experiences to help others solve their challenges and avoid the same “gotchas”. 

There’s a good chance you’ve just completed or will be upgrading to Microsoft Dynamics NAV

2013 this year. We’ve had many conversations with NAVUG Members over the past few months

on upgrading, so we thought it appropriate for this issue to focus on that topic. Talk about an

opportunity to connect, learn, and share!  With any upgrade, the more you know going in, the

better. Let us help you connect with those going through or having completed their upgrade, learn

the opportunities and the gotchas, and share your experiences to make your upgrade more efficient. 

We’ll even try to answer the granddaddy of all questions: Should I upgrade or re-implement? 

 While every situation is different, here are some of the common issues that our Members

have found as they’re moving to Microsoft Dynamics NAV 2013:

» Reports – The reporting structure has changed in Microsoft Dynamics NAV 2013. You’re

going to want to take a good, hard look at your existing reports and evaluate whether you’re

going to upgrade or rewrite them. Classic reports need to be rewritten, and even then, the

“reports upgrade” may need some additional work, while it may be fine for some basic

reports. Why not take this opportunity and do a much-needed review and overhaul?

» Modifications – Depending on the modifications you’ve made and what areas in Microsoft

Dynamics NAV they touch, they may or may not be an “easy move”. Make sure you have good

documentation regarding your modifications so you can avoid surprises and re-testing later.

» Your current Microsoft Dynamics NAV version – You can only really upgrade from

Microsoft Dynamics NAV 2009 to Microsoft Dynamics NAV 2013. If you want to go

from Microsoft Dynamics NAV 5.0 to Microsoft Dynamics NAV 2013, you will need to

go through Microsoft Dynamics NAV 2009.  You may want to re-implement as it could

be more cost-effective.

» Add-on compatibilty – Don’t forget to confirm that the add-on you have or want to

implement is available for the version that you are upgrading to.   

» User training – If you’re still on classic, make sure you evaluate the degree of change in

the User interface as you change to the Role-tailored client (RTC). Just remember: the

search function will be your best friend!

What made you decide to become a NAVUG Board Member?

I’ve worked with Microsoft Dynamics NAV for 25 years this year, and it has

always been my passion. In a constantly changing market, we have to unite and

work for the interests of the daily Microsoft Dynamics NAV Users and their

organizations. When I visited NAVUG Forum (now Summit) in 2013, I felt the

huge energy in the User community, and I would like to use my experience and

global network to make it even stronger. I wish that Users would network and share

more with other Users. The power of a community is not measured by the number

of people in it, but by the amount and quality of the information they share.

What is your vision for NAVUG?

I want to make NAVUG a global sharing organization. It’s not that easy to manage a User group, and there can

be many opinions to serve. I believe that NAVUG has the potential and the committed daily Users to make this a

global success to the benefit of the companies operating with Microsoft Dynamics NAV, the Users, the Partners,

and Microsoft.

Generation has gotten so much from being a NAVUG Member; my hope is

present webinars and sessions at conferences. What makes NAVUG such a

Data Masons has been a long-term, active supporter of NAVUG and is

Dynamics NAV community. Recognizing the level of support we had been

accustomed to providing, it was time to extend our level of commitment,

and the NAVUG board provides us with an opportunity to do just that.   

What is your vision for NAVUG?

Having been involved since the early days of NAVUG, my hope is to see

the organization continue its growth both in membership and in educational

offerings. Last year NAVUG introduced Collaborate to the community,

which has succeeded in giving Members an easily accessible platform to start discussions relative to their business

or use of Microsoft Dynamics NAV. Given the momentum generated from Collaborate, I’m looking forward to

seeing what’s to come next from NAVUG, and I appreciate the opportunity to execute on its initiatives.

At TW Garner Food Company,

quick and easy access to up-to-the-

minute data is important in a more

immediate sense than it is for many

companies. “Our Green Mountain

Gringo line of fresh salsa and tortilla strips is the

best you’ll find,” says Heyward Garner, one of three

members of the fourth generation currently running

the company. “It’s vegetables in a jar.”

With product available in all 50 states, every

U.S. military commissary worldwide, and at retail

locations in many other countries, keeping track

of more than six million jars of salsa annually, plus

numerous other products, is a big job. Further

complicating the task are the variety of storing and

shipping methods and the different sales channels

– retail, food service, industrial, and military. “It’s

a massive amalgamation that’s fairly complex,”

Heyward says.

Heyward’s role blends brand extension,

project management, and business development.

“My job is to speak the language of all our

departments and customers,” he says. He’s

currently working on Cha!, which will be part of

the Texas Pete® line of hot sauces, a world flavor

that Heyward says is a response to consumer

interest in sriracha.

Like many employees, his roots in the company

are a bit more humble. “I know how to stack boxes

and load trucks,” he says. “But for my first official

job, I gravitated toward IT.”

That’s how, in 2009, he found himself shopping

for an ERP system to replace the AS 400 he recalls

as a glorified finance solution that had been shoe-

horned for TW Garner. “We needed more,” he says.

“We needed analytics and reporting, warehouse

management, a maintenance module. We didn’t

have any of it.”

The search started with eight vendors, four

of which were quickly eliminated. “As soon as

we saw Microsoft Dynamics NAV, I was sold,”

he says. “We were already a Microsoft shop, so

it felt like a natural fit from the IT side. Plus

we felt good about having a solution backed by

Microsoft. We also thought it stood head and

shoulders above the others in terms of the UI,

the overall look and feel, the functionality, and

the ease with which you can get data out for

reporting.”

Better Data for Better

Business

Since going live in April 2012, Microsoft

Dynamics NAV has more than lived up to

Heyward’s expectations.

First and foremost, Heyward says, are the

reporting capabilities. “We’re in a highly

competitive industry with relatively low

margins, so being able to figure out on a very

micro level where I’m making and losing

money is huge,” he says. It’s the reporting, in

fact, that helped defuse a potential family feud.

The company used to make a line of jams and

jellies that was losing money across the board.

Discontinuing production was a delicate matter

because the family had strong emotional ties to

the line. “Our management team was able to

look at real numbers. Numbers are unbiased,”

Heyward says. “It wasn’t just one person’s

opinion.” While that’s important in every

business, it’s particularly so in those run by

members of the same family.

Although the warehouse management

functionality was implemented recently, Heyward

already cites it as one of the chief benefits. “Our

goal is to track everything we do from farm to fork,”

he says. “With Microsoft Dynamics NAV, we’ve

implemented a bin system and have bar codes on

forklifts and things like that rather than

using paper and email to track everything.

I can’t even begin to guess how much time

we’re going to save.”

Heyward says the third major benefit is

AFS TradePro, formerly a separate entity

but now a Microsoft Dynamics NAV plug-

in. “If you get a discount on our products

using a grocery store’s loyalty card at the

register, the grocery store – our customer

– bills us for the amount of that discount,”

Heyward explains. “We have so many

promotional activities that it was very

difficult to track promotions to sales. With

no visibility, it was hard to determine

what it costs us to do business with a

specific store and coordinate promotions

accordingly.”

NAVUG: Helping Get

the Most Out of the

Software

Everything about Microsoft Dynamics

NAV is enhanced by NAVUG membership.

Employees attended NAVUG Forum

(now known as NAVUG Summit) just

before going live, and each year the

company sends more. “People from each

department go,” Heyward says. “Everyone

comes back with a takeaway that they

share out with the rest of the company.”

Knowledge about Jet Reports gleaned at

in-person gatherings and online events,

for example, has resulted in a much deeper

level of financial analysis.

Heyward doesn’t doubt that more

valuable knowledge and insight are in the

NAVUG pipeline. “The group introduces

Users to new features that they’re maybe

not aware of and is also a place for power

Users to take a deep dive,” he says. “And

everyone learns from meeting others and

learning how they do things that we can

emulate here to get the most out of our

The list of new features and functionality for applications

and technology in Microsoft Dynamics NAV 2013 is

endless, so it IS worth an upgrade, but as Steve Chinsky

and Brad Prendergast shared in their recent presentation

for NAVUG™ Members, there are numerous things

to consider…

» Server and Microsoft Dynamics NAV Dimensions Improvements

- Dimensions have been rebuilt, and 2013 servers are really robust

and flexible. With a 64-bit and now a multi-tier architecture,

Microsoft Dynamics NAV 2013 servers communicate directly

with the SQL Server, and you also have the option to host in the

cloud without losing speed and power.

» Web Client - You can create pages on the Web client specific to

different roles in your organization. With Steve’s team travelling

all over the U.S., this was a key driving factor in making their

upgrade decision.

» Role-tailored Client (RTC) Improvements - Steve admits the cut-

and-paste features in 2009 were annoying, but now the screen in

2013 is clean and easier to navigate as well as personalize.

» Posting Improvements - Steve was tired of getting the locked out

messages of, “Sorry, someone else is in the system, please stand

by.” In 2013, this has all been re-written so it doesn’t tie things up

while people are posting transactions. Everyone can do their job

when they want. You can also schedule the posts if you do have

any issues so you don’t lose your work.

» Office Integration - Steve’s organization is heavy into Microsoft

Office, constantly using Outlook. So this was another key factor

in making their decision.

» Import/Export Entries via Excel - With Microsoft Dynamics

NAV 2013, you can make Microsoft Excel import/export entries

with the standard set-up. This minimizes the amount of moving

data around, reducing the amount of manual errors.

» SharePoint Integration/Portal - This expansion to the entire

Microsoft stack allows for more flexibility and continuity:

You can run Microsoft Dynamics NAV 2013 in the cloud and

integrate easier with third-party applications.

After considering these major

points, here’s a look at exactly what

Steve and Brad dealt with for their

Microsoft Dynamics NAV upgrade…

» Customizations - The great thing about Microsoft Dynamics

NAV is that it can be transformed, but out of all the customization

Steve had for Microsoft Dynamics NAV 2009, they threw out

a majority. The new features allowed them to expand on a

top few, which goes to show this is a good time to analyze the

customizations you have and how they react with other features

and coding of Microsoft Dynamics NAV 2013.

» Reports - This was a little tough to swallow for Steve and

Brad, but since the Visual Studio reports are gone, Microsoft

Dynamics NAV 2013 reports need to be entirely rebuilt. In the

end, it really made Steve and Brad analyze which reports they

actually needed. Reports were painful: It’s not bad functionality

in Microsoft Dynamics NAV, you can do great things with it, but

when upgrading, it’s time-consuming and difficult. Remember

to take a look at what reports you actually need and pay close

attention to the layout and positioning.

» RTC Versus Web Client Access - The Web client made it easier

to exploit the web for any one of Steve’s employees, so he built

their own roles and their own pages. The combination of the

two was a dream come true for him. It helps that the Web client

looks just like Microsoft Dynamics NAV: same features, same

movement, and same flow. It was beautiful to show because you

don’t have to jump through multiple windows.

» Historical Data - Steve’s organization deals with a lot of data and

gets up to the 100GB level quickly. They had to ask themselves,

“Should we a.) Bring over opening balances, GL history, and the

basic stuff? or b.) Bring it ALL over.” Because all dimensions have

been redone, it could save you tons of money and time if you just

bring over the opening stuff and then have your Partner build a

table of the old system so you can at least view that information

if needed. Especially if you are on a version before 2009, you

need to think about what’s important to transfer over.

» Add-Ons - Steve had to make sure heavy integration worked

for their e-Bank reconciliation with Wells Fargo to remain fully

SOX compliant. Make sure you verify bringing add-ons forward

and whether they are compatible with the Microsoft Dynamics

NAV 2013 version.

So what does all this mean for you?

Microsoft Dynamics NAV 2013 is the most impressive version

out there, and it’s too bad it didn’t come out even earlier. The

improvements have proved to greatly outweigh Steve and Brad’s

concerns, and if you prepare, it makes the implementation and/or

upgrade process much easier. Here are five key points to pay close

attention to as you move forward in the evaluation process:

» Add-ons - Are you up to date in maintenance? How many add-

ons do you have, and how many do you want to keep? Are they

certified, and do they work with Microsoft Dynamics NAV 2013?

» Upgrade Versus Re-Implementation - Sometimes it’s more cost-

effective to re-implement depending on your situation. Brad

mentioned that the upgrade toolkit for 2009-2013 works well,

but if you have any versions before 2009, you have to get 2009,

and then get the upgrade to 2013. Depending upon what you

have, it’s something to keep in mind as a whole. Remember,

customizations do make this a bit more complicated, and the

toolkit may not be a fit for that.

» Servers and Clients - How old are your servers? Are there specific

forms? How do you want to balance the load of data? Take a

look at the client operating system to see if it’s compatible: Some

older clients may not work.

» Historical Data - Figure out what to bring over and why,

whether it’s transactional versus detail. Different roles in your

organization will want to see different things, and you need to

factor that into your decision. Do you need it for reporting, or

can you live with it in your old system? Weigh the pros and cons

and justify the dollars it will cost.

» Users of Microsoft Dynamics NAV - Leaving the Classic world

can be an extreme culture shock. Users are used to the point-

and-click world, similar to Outlook. So, allow Users to take time

playing and testing the RTC. Things have shifted; menus are

better and easier to understand, but it’s a new way of working.

Steve’s organization started thinking about upgrade in late

winter, and they took months to play/test the system through

summer and early fall until it finally went live. Now they love it

and know how it works inside and out. NAVUG

Student Certificate. The Microsoft Dynamics Student Certificate

Program (MDSCP) recognizes students who have been exposed to more

than 100 student activity hours or four European Credit Transfer and

Accumulation System (ECTS) credits of Microsoft Dynamics content.

The MDSCP allows you to further focus your recruiting efforts on

educational institutions producing graduates with a higher level of

Microsoft Dynamics product knowledge. A Microsoft Dynamics Student

Certificate is not the same as a Microsoft Dynamics Certification. An

MDSC is only available to students and has a different set of requirements.

In order to earn a Microsoft Dynamics Certification, an individual

must take and pass an official Microsoft Dynamics Certification exam.

Students who earn an MDSC are encouraged to pursue full Microsoft

Values Thrive as

Something contrary to every headline is happening on Florida’s Gulf Coast: In the town of

Bonita Springs, which sits between Naples and Fort Myers, things are being made. At its

headquarters, Shaw Development LLC not only engineers turnkey fuel, hydraulic, and diesel

emissions fluid (DEF) solutions, but it also manufactures them there as well.

“We’re a small company that is growing,” says Laura Rhoad, the company’s director of human

resources. “We’ve had double-digit growth for the last five years. At the moment, we’re adding to our

building, and we’re expecting to more than double in size in less than two years.”

That sort of growth hasn’t escaped notice. Shaw was named the 2012 Manufacturer of the Year by the

Manufacturers Association of Florida as well as Manufacturer of the Year in Lee County.

One of the factors fueling the growth is that the solutions Shaw Development manufactures take

emissions out of diesel exhaust, something that is mandated for heavy duty off-road vehicles this year.

But equally important to the company’s success, says Laura, is its spirit. That spirit was infused into the

company first by the founder, Frank Shaw, and then by his son, Jim. “Jim Shaw is a very humble man, and

I think the tone he set has lived on,” Laura says.

While Jim Shaw’s five daughters now own the business, one of the ways his

commitment to being a good citizen both at and away from work can be seen through

the company’s values: respect, honesty, trust, motivation, responsibility, and creativity.

There is no shortage of evidence that those values are alive and well within the

company. Even though there are approximately 75 hourly employees in the factory,

there is no attendance policy because, as Laura explains, “people take responsibility so

we don’t need one.” Among her peers, she reports that there are disagreements, but that

they’re worked through respectfully and peacefully. And – sit down for this one – no

office politics. “We live the values,” Laura says. “That’s what makes it such a great place

to work.”

Sharing Good Fortune

The citizenship doesn’t end at the property line. “We are grateful for our success,

and we think it’s important to support the community that’s supported us,” Laura says.

In addition to participating in local blood drives, Shaw employees participated in the

American Cancer Society’s ‘Making Strides Against Breast Cancer’ and started an

annual food drive for a local organization.

“It was around the holidays, when everyone is worried about being able to go

Christmas shopping and do something special for their families, so we decided it would

be a good time to do something for people who are less fortunate,” Laura says. “We

collected and donated more than 1,000 pounds of food to a local food bank.”

The employees approached participation in the local Making Strides Walk with equal

gusto. In fact, of the 122 companies in the same county that participated – many of

which are considerably larger – Shaw came in seventh in terms of funds raised. “The

walk tied in with our wellness initiative – Move It to Lose It – and it was also a nice way

to acknowledge a few of our employees who are breast cancer survivors,” Laura says.

“We had more than 100 people on our team for the 5K walk.”

At Shaw, raising money for charity isn’t just for special occasions. Every Friday,

employees pay $1 to wear jeans to work. That dollar is matched by the company,

which is then matched personally by the president Kevin Hawkesworth, and finally

by Jim Shaw. “So every dollar an employee donates to wear jeans yields $4 to charity,”

Laura says.

A Good Place to Work

Laura says that the commitment shown by employees to support worthwhile causes is a reflection of the

pride employees take in working for a company that means business when it comes to valuing everyone’s

contributions. “Our president is young, hip, and smart,” Laura says. “Once a month, we all get together in

the cafeteria, and we go over the numbers. The numbers are what determine the bonus payments, so by

communicating directly with employees, everyone sees the contribution they’re making. Transparency is

so important.”

Last but not least, the company’s commitment to helping employees develop professionally and to

promoting from within whenever possible is key to Shaw’s reputation as a great place to work. After

deploying Microsoft Dynamics NAV, Shaw joined the NAVUG so that the company’s IT team can learn

about new ways to use the technology from other companies of a similar size. True to the company’s

promotion philosophy, one member of the team worked his way through college on the factory floor; once

he earned his degree, he was promoted to the IT team as soon as a position became available. “He can

troubleshoot anything,” Laura says. “He’s our Microsoft Dynamics NAV genius.” NAVUG

2. Navigating Menus in

V4 and V5

By default, the Microsoft Dynamics

NAV Classic Client tracks all of your

active windows. So as you move between

windows, Microsoft Dynamics NAV will

highlight the corresponding menu item

in the Navigation Pane. For example, you

have the Customer card, a sales order, and

posted sales invoices opened at the same

time. As you click on each window, the

Navigation Pane will highlight the new

menu item, and sometimes, it will totally

change the cascading view of menu items.

Many Customers prefer to turn this feature

off because they do not want the Navigation

Pane to change since it can save time when

researching information.

3. Use Reconciliation

Account to View Effect

of Unposted Journal

When entering manual Journal entries,

Microsoft Dynamics NAV has a great

feature that will help ensure that debits are

debits and credits are credits. It is called

Reconciliation account. To enable this

account, check the box on the G/L Account

Card.

Before posting a particular entry,

choose Posting > Test Report > Preview.

Microsoft Dynamics NAV provides a great

print preview that includes a section at

the bottom labeled Reconciliation. In this

section, you will find the net change per

account involved in the journal,  what sign

your ending balance will be, and  what the

actual balance is after posting. 

4. Using Copy

Document Function

to Create the Same

Documents Each Month

This Copy Document function is a great

tool for any new User of Microsoft Dynamics

NAV. This feature helps save time and can

also help reduce errors. Whether you are

on a purchase order, purchase invoice, sales

order or a sales invoice, all you have to do is

hit F3 to create a new document, go to the

Functions button at the bottom of the form,

and select Copy Document. Also, don’t

forget that you can also use Copy Document

for credit memos and return orders. When

you create credit memos directly from the

sales order, Microsoft Dynamics NAV will

actually apply the two documents when you

post the credit memo.

5. Finding Manual

Entries in Control

Account

Control accounts are system-generated

and should not allow direct posting.

Sometimes Users will click “Allow Direct

Posting” when they are posting adjustment

journals. To find the inadvertent manual

entries, open G/L Entries for the

particular Control Account and add a

filter for System Created Entries = No.

This will show you all manual entries that

Accounts Receivable Aging Report

As time has gone on, our Accounts Receivables Aging report

(10040) has gotten to the point where it is nearly un-runable. It can

take more than an hour and sometimes crashes.  The only way we can

get it to run reliably is to have it set to show details and sent to a PDF

printer. We have had the latest hotfixes added, but it is still really bad.

Has anyone had any success speeding this report up? Has anyone re-

written the report in SQL to speed it up?

Block Item for Specific Customer

Does anyone know of a way to block the shipment of an item for

a specific customer (not all customers)? My guess is that a system

modification/enhancement will be required to do this.

When we went live with Microsoft Dynamics NAV, we were

advised not to use low-level data elements as dimensions, such as

customer and item.  We implemented using higher-level dimensions

such as customer channel and product category.  These are helpful

for some things, but more and more, we are seeing a need to have

item # as a dimension.  Does anyone else use item # or customer # as a

dimension?  How has it worked for you?  Do you have any suggestions

or recommendations?

Restored Test Database Only Works

in 2009 R2 Classic Client

I recently refreshed our test database for the first time in a year, and

now I can only access via Classic Client. RTC returns the following error:

Metadata for object of type Table with id 2000000053 is in a

failed state. This is caused by a previous exception:

Compilation of assembly ‘C:\ProgramData\Microsoft\

MicrosoftDynamics NAV\60\Server\MicrosoftDynamicsNavServ

er$MCNETT-TEST\assembly\Record2000000053.dll’ failed. This

can be caused by differences between binaries in your installation

or your database. Ensure that all installation components are

consistent and up to date. Error details reference missing definitions

for SalesSetupRead, SalesSetup, and tmpWindowsLoginGroup.

Can anyone point me to setup location in Classic?  Thanks in advance.

Mandatory / Required Fields in

Microsoft Dynamics NAV 2009

Good morning. I am wondering what solutions people have employed

to make select fields within Microsoft Dynamics NAV “mandatory” or

“required” for completion on select records, such as a sales order, sales

quote, item card, and other master records, etc.   I believe Microsoft

Dynamics NAV doesn’t support required fields native (at least in my

version), but this seems like such a fundamental need of businesses, I

am hoping to get some advice on this topic...Thanks!

Jobs and Accounts Receivable

We are still in a very old version of Navision (2.0) and are in the

beginning stages of re-implementing to Microsoft Dynamics NAV

2013. 

We are a moving company, and we work with the military and

with a national moving agent.  Both are bill-to customers for us. 

We register jobs with these customers, and they pay us based on

agreements we have with them.  We do not invoice them.   

We enter an invoice to record the revenue and the receivable, and

then we wait for payment.  They pay us referencing the job number

that they assigned when we registered the job with them.  They will

NEVER reference our invoice number.

Does anyone have any suggestions how we might manage this since

job number isn’t in the customer ledger?  We need to be able to not

only know how much a customer owes us in total, but also we need

to be able to know that we’ve received all the money we are owed

by job.  We have hundreds of jobs per month with one customer,

and we regularly record revenue incorrectly and only know what the

correct amount is when we receive payment so we have to be able to

reconcile by job and correct our revenue.

NAVUG™: Tell me about your tenure with

Microsoft.

Marko Perisic (MP): I’ve been with Microsoft for

eight years now. At the beginning of my career

here, I was responsible for the metadata server and

developer tools of Microsoft Dynamics AX. I then

transitioned to Microsoft Dynamics NAV, which

was a more interesting product for me because

the SMB market is so fascinating: So fragmented,

so many players, so many challenges, so many

opportunities to act fast and to ultimately make a

big difference.

NAVUG: Tell me a bit about your current role

at Microsoft.

MP: My role is to head the program management

(PM) organization for Microsoft Dynamics NAV.

Program managers are responsible for converting

market needs into a product. They don’t write

code, but they need to interact with development

teams. They don’t do business planning, but they

need to interact with product marketing and

understand the business.

NAVUG: What do you love most about the work

you do and the role you play at Microsoft?

MP: To me, it is the most exciting role to have

in Microsoft. You play a different aspect of the

role almost every day: One day you are in deep

discussion with engineers on what to build; the

next day, you are looking at market figures, all

while interacting with Partners and Customers.

We (program managers) are where the “sea

water mixes with fresh water”, between business

development and product development, and it is

ultimately our responsibility that those two sides

understand each other, and that what we build is

the right product for our Partners and Customers.

I’ve been in this role at various levels since I joined

Microsoft, and it is a privilege that I am heading

the PM organization for Microsoft Dynamics NAV.

The best part of my weekday is still the moment I

wake up and head to work.

NAVUG: Can you pinpoint an example of what

makes your work worthwhile?

MP: It’s whenever I see Partners and Customers

excited about our product, whenever I hear them

publically making “we love it” statements about an

ERP software solution. The biggest compliment

our organization ever got is when we learned

that some Microsoft Dynamics NAV Users, when

they leave their company for a new company,

demand from their management to implement

Microsoft Dynamics NAV because they love using

it that much. Every single person in the Microsoft

Dynamics NAV organization loves this product.

That makes our day, any day.

NAVUG: What is your team working on now?

MP: We are currently working on Microsoft

Dynamics NAV codename “CRETE”. We have a

tradition of codenaming every new release after

a Mediterranean island. We are building a lot of

great new functionality into it. We cannot wait to

reveal it. Soon. But not in this interview.

NAVUG: We understand. Can you share more

information about the solution’s roadmap?

MP: The software industry is moving at a

ridiculous pace. There are new technologies,

new requirements, new capabilities, and trends

emerging on a weekly basis. To create a detailed

roadmap for the next five years of what we are going

to do exactly is the same as saying, “we will ignore

market input from this point for the next five years”,

or a better version, “here it is, but right now it is

probably invalid, and it will change every month”.

This is why we have transformed our organization

into an agile R&D organization, running scrum

at scale. We focus on completeness, quality, and

eliminating any functional or technical debt in the

process. This gives us the ability to quickly scope

in and out investments as we discover new needs

and trends in the fast-moving software world. This

has already generated tremendous success in our

2013 and 2013R2 releases. We were able to react

to changes in the market so rapidly, and to deliver

the right value to customers.

To not have a detailed roadmap is not the same

as to say we don’t have a direction. Microsoft

Dynamics NAV has always been about ERP

functionality. In recent years we have transformed

it into a modern ERP solution, where functionality

is still critical, but the experience and the (cloud-

ready) platform are just as important. Microsoft

Dynamics NAV is now future-proof, running “in” Office 365, and

“on” Azure. We will continue to push on all three fronts: Richer

functionality, omnipresent experience on all devices, and state-of-

the-art service that can run in the public cloud, private cloud, and

on-premise. Microsoft Dynamics NAV is one of the few (if not the

only) ERP products that has made that successful transition, all in the

name of ensuring that our Customers get the most value out of their

investment. Our agility is our biggest asset in ensuring we continue

to do that.

NAVUG: How does your team work with Microsoft Dynamics

NAV Users? What types of interaction do you find most valuable?

MP: In addition to formal input, such as Support and Connect,

we do many other interactions. We interact with our key Partners

and Customers through a program called ACE (Agile Customer

Engagement). They participate closely in the development

process, providing continuous input and validation. We also have

something called TAP (Technology Adoption Program), where

select Partners nominate a Customer to go live on the release

we are building. This is essential. We do not ship until we have

Customers going live with our product. We have conferences

where we have roundtables with Partners and Customers.

We do road shows where we visit Partners, and in some cases,

Customers. We participate in NAVUG conferences, and I am

happy to have a close relationship with NAVUG. Making Partners

and Customers happy is at the core of our business, and thereby,

working with Partners and Customers is at the core of how we do

Microsoft Dynamics NAV 3.7 was starting to show its age, our

sales team wanted to get into CRM, Microsoft would inevitably stop

officially supporting our version, system performance worsened as

the company grew and we added Users and grew the databases,

and the list of feature complaints started to reach its tipping point.

After gaining exposure to newer systems and seeing what

we could accomplish in the mobile space with cell phones and

tablets, the itch to take it to the next level grew even more. We

also saw how third-party support was growing in the Microsoft

Dynamics NAV community, so we were excited to see what

solutions could improve our business processes beyond what

Microsoft Dynamics NAV could do natively. We knew it was

worth the time and investment.

We’re currently planning a reimplementation of Microsoft

Dynamics NAV. Our current install will be four years old at the

time of our go-live in fall 2014, but our company has grown

10 times its size from our original go-live, and our needs are

very different today than what we needed four years ago. A

reimplementation will allow us to start from scratch with the

company that we are now.

As we plan out our upgrade, we have documented our current

business processes in detail as well as noted the modifications

that are used to support those processes. We’re really looking

forward to better remote connectivity, improved posting

performance, and mobile connectivity with Microsoft Dynamics

DK: We completed the CFMD (Certified for

Microsoft Dynamics) process at the end of 2013,

which we are very excited to announce, but we also

have an estimated 30 full-time researchers at CCH

1. Creating New Companies

Within Microsoft Dynamics NAV 2013 R2, you have two options

when creating a new company. The former method of going to the

Development Environment File > Company > New is not available

with R2. You have two options:

» Option 1. In RTC, navigate to the listing of companies. Using

the ribbon, you can create a new company or copy an existing

company.

» Option 2. You can create a new company by using the Microsoft

Dynamics NAV 2013 R2 Administration Shell. You have to be

the administrator. Right click on the Administration Shell and

select Run as administrator as shown.

Three Tips & Tricks for Microsoft Dynamics NAV 2013 R2 Users

Powershell will open. To add a new company, type in New-

NavCompany at the prompt. You will be prompted for the New

Company Name. Next, you will be asked for the ServerInstance.

This is the portion that follows the port name, such as localhost:7046/

DynamicsNAV71

2. Help Server

The days of updating Help Text on every client are in the past.

With Microsoft Dynamics 2013 R2, Microsoft has added the Help

Server component into the product. You can install it to your IIS

server. The Help Text content is the same whether you are accessing

from the Windows client or web client.

3. Renumbering Document Numbers

in Journals

If the No. Series field on the journal batch is filled in, the posting

function in general journals requires that the document number

on individual or grouped journal lines be in sequential order. To

make sure that you do not receive posting errors because of the

document number order, you can use the  Renumber Document

Numbers function before you post the journal. If related journal lines

were grouped by document number before you used the function,

they will remain grouped but may be assigned a different document

number.

This function also works on filtered views.

Any renumbering of document numbers will respect related

applications, such as a payment application that has been made

from the document on the journal line to a vendor account. To find

Renumber Document Numbers, enter General Journals in the Search

box. When you are ready to post the journal, on the Actions  tab, in

the Functions group, choose Renumber Document Numbers. NAVUG

I recently came across two very interesting and lengthy

definitions created by Microsoft for Microsoft Dynamics NAV

and business intelligence (BI).

According to Microsoft, Microsoft Dynamics NAV is a multi-

language, multi-currency business management solution that helps

small and mid-sized businesses manage their financials, supply chain,

and people to create experiences that delight their Customers. It is

quick to implement and easy to use, with the power to support your

growth ambitions. Microsoft also states that BI turns information into

action through data gathering, analysis, monitoring, and forecasting

to identify opportunities, minimize risk, and improve management

insight.

In my opinion, BI for Microsoft Dynamics NAV is making sure

business decision makers have the right information, at the right

time, and in the right format to make informed judgments about

their business. It allows Users to make recommendations and take

action today on tomorrow’s business issues.

At NAVUG™ Academy, we believe that business intelligence

should be in the forefront of your Microsoft Dynamics NAV learning

Reporting in Microsoft Dynamics NAV

101 Using RTC (Role Tailored Client):

This is a great introduction to reporting in Microsoft Dynamics

NAV. In just a few short hours, students will be able to

but also have the foundation they need to write reports

in the RTC. This introductory class will show students

how to create and modify simple and advanced reports

through a hands-on virtual classroom environment,

enabling them to get down and dirty with Microsoft

Dynamics NAV’s RTC.

Account Schedule Basics

for Microsoft Dynamics NAV

2013 RTC:

Account schedules are a powerful tool used to

create custom financial statements directly from your

Microsoft Dynamics NAV general ledger. In this in-

depth training session, students learn the fundamental principles of

account schedule construction. Using hands-on exercises, students

have the opportunity to apply what they learn during class. Students

are able to create a basic trial balance and master the three basic

account schedule building blocks: row setups, column layouts, and

analysis views. They will also discover how to filter financial reports

by dimensions, layer in budgeted information, and produce reports

by exporting to Microsoft Excel® in the most efficient way possible.

Coupled together, Creating Microsoft Dynamics NAV Datasets

for SSRS Reports and Creating Views and Reports with SSRS will

enable organizations to realize the full potential of their SQL Server

Reporting Services deployments for Microsoft Dynamics NAV. The

first step in learning how to leverage Microsoft Dynamics NAV

data outside of the solution is to understand how to build a dataset.

Datasets are required to join data between two or more tables or

companies. They are also required to encapsulate and summarize data

from a production system to a reporting system or data warehouse.

Once the datasets are created, students can start creating SSRS

reports that include grouping, totaling, charts, and graphs. They can

also create customized report subscriptions that enable reports to be

automatically generated and delivered.
