Storage of personal working documents: don’t let this grow beyond 2 – 3 GB

Storage of shared departmental documents

Move personal inactive documents that you wish to keep to a separate folder that’s not sync’ed

From time to time, review you’re My Documents folder:• throw away what you don’t need anymore ! • store elsewhere what you don’t need now but wish to keep.

Tip #3: Use “work offline” when travelling

To switch offline working on: Start / All Programs / Work Offline

To force synchronization:• Right-click the computer icon in the taskbar• Choose “Synchronize”

Tip #4: Minimize items in startup folder

• May seem convenient to put in for instance Outlook, so it automatically starts

• Result can be that overall startup is slower, when your computer runs out of working memory and starts “swapping” to cope with all concurrent tasks

• Swapping causes the computer to use its disk for working memory, which is considerably slower

Tip #5: Remove unneeded network printers

• Certain tasks (e.g. Opening / Saving a document) cause Windows to recheck all printers, causing long timeouts for non-existing ones

Tip #6: Manage the size of your inbox and mailfolders

• Keep the overall size of your mailbox below 300 MB: when it gets over 300 MB, items younger than 90 days will get archived as well !

• Keep the number of items in folders below 3000 items• The best method to reduce the mailbox size is to delete messages you

don’t need anymore. In particular delete: alerts and notifications, newsletters you’ve read, mail from suppliers

Tip #8: minimize the number of open mailboxes and calendars in Outlook

This is on by default. Especially for secretaries managing many calendars it’s recommended to turn it off to prevent sync errors and performance issues.
